About the Role:

Reporting to the Associate Director, Student Life the Engagement Systems Coordinator is responsible for managing the operational and systems-based components of student engagement, with a primary focus on optimizing the ExperienceBU platform to support cross-campus initiatives and enhance student retention. The incumbent oversees campus promotions and event risk management processes, ensuring compliance and consistency, while also collaborating with staff across departments to align engagement strategies, improve digital presence, and streamline student-focused programming.

The Engagement Systems Coordinator will:

  • Oversee the student engagement platform, ExperienceBU, ensuring its effective use across campus and providing guidance to staff and students on system processes;
  • Coordinate support and system maintenance with the vendor to ensure platform reliability and support its integration across departments;
  • Promote the use of ExperienceBU across departments, encouraging integration with the Campus-Wide Co-Curriculum (CWC) and other engagement opportunities;
  • Ensure accurate and consistent data entry, overseeing the upload of event information and the linking of events to appropriate paths within the platform;
  • Administer the Student Event Risk Management and Approvals (SERMA) procedures, ensuring timely review and approval of over 1600 student-led events annually;
  • Develop and implement training for students and staff on how to navigate SERMA in the system for event approval and risk management processes, ensuring proper entry of data and compliance with protocols;
  • Manage the Campus Promotions Policy, ensuring compliance with guidelines and maintaining an organized system for poster approvals, records, and clearance of promotion spaces, and ensuring alignment with the Campus-Wide Co-Curriculum (CWC);
  • Oversee the collection and analysis of data from the ExperienceBU platform, student event registrations, and attendance tracking to generate comprehensive reports on student engagement and event participation;
  • Develop and maintain key performance indicators (KPIs) to measure the success of student engagement initiatives, campus promotions, and digital communication efforts;
  • Analyze Google Analytics data for Student Life’s websites and ExperienceBU pages, providing insights on user engagement and areas for improvement;
  • Oversee cross-campus student support websites under Student Life’s purview, such as BU4U and Current Students, collaborating with departments across the university to gather and integrate relevant information, ensuring a cohesive and comprehensive online experience for students;
  • Lead the coordination and maintenance of Student Life web content, ensuring all pages are aligned with branding and meet AODA compliance standards;
  • Support the development and execution of the Student Life unit’s comprehensive marketing and communications strategy, working closely with the Associate Director to ensure alignment with overall departmental goals and visibility;
  • Foster strong relationships with campus partners, students, and stakeholders to enhance student engagement and communication across the University;

Please note: This position requires occasional evening and weekend work.

Key Skills and Experience:

  • Undergraduate degree in a related discipline. The equivalent combination of education and experience will be considered.
  • Experience in student life, student engagement, or a related field;
  • Strong attention to detail, with the ability to manage multiple systems, projects, and deadlines efficiently;
  • Ability to create engaging digital content and effectively connect with students, staff, and external partners;
  • Expertise in systems administration, content management systems (ExperienceBU or similar), and Google Analytics;
  • Capacity to develop, document, and refine processes to improve efficiency and outcomes;
  • Ability to lead and mentor staff and collaborate effectively with other departments;
  • Familiarity with post-secondary institution policies related to student organizations, events, and risk management and related processes;
  • Experience working with student engagement platforms like Anthology, or similar tools;
  • Understanding of co-curricular programming and student leadership development;
  • Experience managing social media platforms and digital marketing strategies for student engagement; and
  • Promotes and embodies inclusivity and respect within the workplace and the broader community.

Preferred or Asset Skills:

  • Experience in a post-secondary institution.

Salary and Total Rewards:

  • Job Grade K, Salary Scale ($61,286-$99,384);
  • Target Hiring Range: $61,286-$63,000
  • This is a permanent position that includes:
