Job Description:

Primary Purpose

Within the International Experience Centre, Global Learning Coordinators (GLCs) are responsible for the successful coordination, administration of student exchange and other relevant mobility opportunities for incoming and outgoing students and play a key role in bolstering the student experience for these students. GLCs are responsible for iterative improvement and reduction of access barriers to programming and processes related to exchange and play a key role in providing advice to students about resources and responsibilities related to exchange using an anti-racist and equity lens. Crucially, GLCs play a key role in the strengthening and maintenance of relationships with more than 100 highly ranked university partners around the world with whom the University has mobility agreements.

Key Accountabilities

Program Administration and Coordination

  • Responsible for coordinating undergraduate and graduate student exchange programs and other relevant mobility programs, including guiding students through the application process, liaising with faculties regarding student eligibility, and matching eligible applicants to opportunities using established processes.
  • Acts as the initial central coordinating contact for students considering or participating in relevant international mobility programs, as well as for campus partners, providing exceptional customer service and timely, accurate information.
  • Utilizes superior intercultural communication skills to serve as the primary point of contact with over 100 international mobility partners, ensuring exceptional service and timely, accurate information.
  • Responds, escalates and communicates on emerging student issues here and abroad to ensure appropriate UW and international partner colleagues are briefed for collective response as needed.
  • Negotiates with partners on issues of balance and quota to maximize Waterloo student access to exchange opportunities.
  • Accurately and efficiently processes all aspects of student mobility applications, including review, matching, approval, and reporting; summarizes information and statistics; and maintains confidential records and databases.
  • Works collaboratively with representatives from each faculty, other departments across campus, and teams within the Student Success Office (SSO) and International Experience Centre (IEC) to improve processes surrounding student mobility opportunities.
  • Collaborate with cross-campus partners, including Waterloo International and various faculties, to conduct research, assess and offer feedback on potential mobility partnerships and opportunities.
  • Maintains knowledge of and effectively provides pertinent information on university administrative procedures, non-degree admission policies, application procedures and requirements, housing options, orientation programs, risk management protocols, pre-departure and re-entry programs, and other matters affecting the welfare of students in mobility programs.
  • Contributes to reporting related to mobility and Global Learning endeavors through exceptional knowledge of records, computer systems, and databases used by the team.
  • Provides support for administration and coordination of intercultural learning programs and opportunities as needed.
  • Works with an ethic of continuous business process improvement, identifying opportunities within specialized software and other operational processes to maximize efficiencies and satisfaction for students and internal and external partners.
  • Participates in and contributes to regular team and department-wide meetings as appropriate.
  • Represents the Global Learning team at national or international conferences or site visits, and during delegation visits to campus, as needed.

Student Success

  • Exercises superior communications skills to provide information and advice to students regarding selecting, applying for, and participating in a mobility experience.
  • Serve as the central point of contact for students while on exchange, providing support and liaising with colleagues on campus and at partner universities. Contributes to monthly faculty exchange meetings.
  • Develop and execute events and programming to support student experience and success before, during, and after exchange.
  • Partner with other groups within the IEC and across campus to link incoming and outgoing students with existing academic and other supports critical to success during exchange.
  • Serve as a source of knowledge regarding other student mobility opportunities (e.g., study abroad, short-term programs) and refer students to relevant resources on campus.
  • Develop and participate as needed on quality assurance and assessment data collection and analysis activities in support of an iterative program improvement process with an equity and anti-racism lens.

Relationship Building and Management

  • Facilitates a strong working relationship with campus partners and collaborates/partners when appropriate on strategies that will support the IEC/SSO in meeting the needs of incoming and outgoing students in relation to mobility and intercultural learning opportunities.
  • Employs superior intercultural communication and negotiation skills to build and maintain strong, respectful relationships with international partners and find solutions to emerging issues that align with University of Waterloo interests, student needs and policies.
  • Works closely with other staff in the IEC/SSO to ensure a coordinated and integrated approach to program development, delivery, and communications.

Staff/Volunteer Development

  • May be responsible for supervision of co-op students, including hiring, training, supervision, and providing feedback to student staff.
  • Develops and outlines clear expectations and responsibilities for student staff and volunteers who support the Global Learning team and IEC programming as needed.
  • Responsible for coordination of recognition and appreciation of staff and volunteers as needed.

Required Qualifications

Education

  • University degree or equivalent experience required. A specialization or focus in intercultural learning, international student development, or student affairs would be an asset.

Experience

  • Direct experience in an educational, student or youth support environment or equivalent
  • Experience working in an environment with a need to be highly interculturally adept, ideally with newcomers, youth, or international students
  • Direct experience working with complex database software
  • Proven experience in iterative program improvement or assessment, ideally in an educational environment
  • Demonstrated experience in working with equity and/or anti-racist perspectives to reduce barriers
  • Experience working/studying/living internationally an asset.
  • Experience in event planning, report writing, student or youth facing communications and public speaking an asset.

Knowledge/Skills/Abilities

  • Exceptional intercultural communication skills with experience working with and supporting individuals from diverse backgrounds.
  • Outstanding interpersonal communication and presentation skills, including written, oral, one on one, and group.
  • Strong practical knowledge of equity and anti-racist practice and principles
  • Demonstrated ability to consider and positively engage with barriers and opportunities for equity-deserving individuals.
  • Demonstrated ability to work individually and collaboratively as part of a dynamic team.
  • Sound understanding of Waterloo policies and procedures related to student mobility programs and familiarity with the range of international experience opportunities available to Waterloo students.
  • Proven ability to take initiative and be both creative and flexible.
  • Strong critical thinking, judgement and decision-making skills.
  • Demonstrated ability to balance multiple competing priorities and projects.
  • Intermediate to advanced proficiency in Word, Sharepoint, MSTeams, Excel, PowerPoint, Outlook, student information systems
